simplicity to everyone. DigiDocFlow offers you
the possibility to create a digital archive by
scanning directly from your multifunctional device.
In just three simple steps, your document is scanned
and intelligently stored within your network, as
a text searchable PDF file.
Simply place the document
on your multifunctional device, select a predefined
workflow and push the button. One of the biggest
advantages of searchable PDF files is that they
can be retrieved within seconds, from any workstations
on the network, by doing a simple key word or
phrase search.
DigiDocFlow offers you the possibility to create a digital archive by scanning
directly from your multifunctional device. In just
three simple steps, your document is scanned and
intelligently stored within your network in the desired
file format. DigiDocFlow stores the document on the
correct location based on the information entered
by the user on the MFD. DigiDocFlow can also use
this information to create (sub)folders.
Afterwards, all documents
are always easy retrievable by the user from the
correct location. With DigiDocFlow it's possible
to scan directly to anywhere: a home directory, email
address, Windows file structure or business application.
Integrations
DigiDocFlow is able to scan and store documents in the correct location within
your Windows file structure, home directory or email
address. But when you use another application, like
a financial, document management, CRM, ERP, DMS or
legal application, all the information about the
business relations, invoices, projects and opportunities
is listed in the database of that application. In
this case it would be much easier to scan and store
documents directly in that aplication.
With DigiDocFlow this
can be done very easily. DigiDocFlow can store the
document directly in the right location in your business
application based on one or two questions answered
on the multifunction printer. Based on industry standards,
it's possible to create a connector between many
applications or databases with a minimum of customization.
Content Management
Store documents directly in the correct repository
in your existing content management system.

Financial
Store documents directly in your financial application and attach documents
to the correct account, client, etc.

Fax
With DigiDocFlow it's possible to store incoming faxes and to send faxes directly
from the MFP.
CRM
Store captured documents directly in your CRM application. Attach the document

Capture and store documents directly in the correct location within an ERP
application.

Database
Capture and store documents directly in the correct database column in a database.

Authentication
Authentication is possible via Active Directory or the creation of a local
user in DigiDocFlow or via external applications like Equitrac or SafeCom.

How to use DigiDocFlow
1. Scan directly into
your Windows file structure
Any user who wants to scan a document can put it
on the multifunctional. He enters what he would like
DigiDocFlow to do by choosing his desired workflow
on the display of the MFD. The next step is to specify
where the document has to be stored in the Windows
file structure. DigiDocFlow can automatically create
new folders and subfolders based on information in
the document. Additionally it's possible to add extra
data to the scan. This data can be used to fill the
document properties or to create a filename. After
pressing the green startbutton, the document is then
scanned and stored in the correct location in the
Windows file structure. Documents can be stored as
text searchable Pdf, Tiff, Jpeg, Word, Excel or OpenOffice
files.
2. Scan to anywhere
DigiDocFlow is able to adapt to any workflow. This
means that it's easy to scan directly into your
Windows file structure, but also to any business
application. When business software, like an ERP,
CRM, DMS, financial or legal application is used,
all company information is stored in this application.
In this case DigiDocFlow can integrate with your
workflow and store scanned documents directly in
the correct location in your business application
based on the information entered by users on the
MFD. DigiDocFlow uses this information to store
the document on the right location. It's possible
to create connections between almost every business

3. Safe scanning with
DigiDocFlow and Equitrac
Equitrac and DigiDocFlow form a powerful combination
which makes scanning personal. An employee logs on
to the device by simply entering their pin code or
swiping their badge. The Ricoh multifunctional authenticates
the employee and the user information is sent to
DigiDocFlow. This way it's possible for the user
to scan directly into their personal scan destinations,
such as home directory and email, without entering
extra information. It's also possible to define user
groups. When user groups are created in addition
to scanning to a personal home directory or personal
email, people can see the scan templates they have
access to through Active Directory. With this functionality
it is easy to define which user is allowed to use
specified predefined workflows.
